Position Summary

As the Human Resources Coordinator, you will be based in Scout’s Philadelphia based office at Bok. You will be the go-to problem solver in a creative and lively office environment. We’re seeking a resourceful, organized, and detail-oriented individual who values creating a strong work culture across multiple businesses, including a year-round restaurant and a seasonal rooftop bar. A background in human resources within the hospitality industry is preferred.

 

You will work closely with team members and leadership in implementing and refining processes in support of full-cycle talent management across multiple entities. You will assist with hiring efforts, employee training and onboarding, professional development, and employee engagement and relations - including compensation, benefits, staff outings, recognition of personal milestones (anniversaries, birthdays, etc), disciplinary actions, and legal compliance.

 

You will also provide full service office support in maintaining a productive, resourced, and organized work environment for Scout’s Philadelphia based office. This is a fully in-person role based in South Philadelphia.

 

The right fit for this position is a highly organized self-starter who is resourceful, thinks on their feet, and maintains composure in stressful situations. We’re seeking someone professionally focused who brings enthusiasm to the office and doesn’t shy away from offering up new ideas.

Responsibilities

  • Performs HR-related duties on a professional yet partial level in the following areas: benefits administration, employee relations, performance review management, onboarding, policy implementation, recruitment/employment, and employment compliance

  • Administers various plans and procedures for all company personnel; develops and implements employee handbook and personnel policies and procedures in conjunction with senior management

  • Communicates with all employees; investigates employee issues, complaints, and conflicts and bring them to resolution

  • Manages local onboarding and off-boarding, including set-up of equipment, software and accounts

  • Recognizes staff milestones and organizes staff outings and job-related trainings

  • If applicable, ahead of termination, follows local and IT termination checklist to off-board employees

  • Conducts local exit interviews to be shared and filed as appropriate

  • Responds to employee queries about PTO (payroll changes, adjustments, commissions, increases) and tracks these in a shared staff calendar.

  • Maintains payroll withholding compliance with federal, state, and local employment laws and regulations

  • Connects with Zenefits knowledge base and customer support to troubleshoot any issues

  • Communicates with Zenefits representatives and adds and removes employees to Zenefits portal as needed

  • Ensures that day-to-day office operations run smoothly and efficiently, and office is always presentable for guests

  • Receives guests and vendors, opens and closes office daily

  • Performs other related duties as assigned

Qualifications

  • Ability to act with integrity, professionalism, and confidentiality

  • Strong organizational skills with the ability to multitask and work independently

  • High EQ and excellent written and verbal communication skills

  • Comfort with office equipment, including laptops and desktop computers (we are an Apple office), printers, and fax machines; ability to troubleshoot office equipment issues

  • Proficiency in MS Office (MS Excel, PowerPoint, Word), G-Suite, and Adobe

  • Experience in human resources, ideally within hospitality industry

  • Strong references

  • Attention to detail and problem-solving skills

  • Ability to work in a team environment with all levels of management
